We are one of the biggest global chemical company and we are looking for an administrative assistant / Customer Services Representative who will be in touch with our customers in Turkey and abroad.
Description of job:
- Welcome and register visitors, manage visitor cards.
- Handle incoming calls and correspondence.
- Manage meeting room reservations and company calendar.
- Prepare and track documents for cargo shipments.
- Assist senior managers and support general office processes.
- Process and follow up on customer orders and samples.
- Ensure compliance with pricing and shipping requirements.
- Coordinate with freight forwarders and internal teams for timely deliveries.
- Maintain customer files and commercial documentation.
- Handle complaints, credit requests, and unpaid invoices.
- Support sales team with offers, forecasts, and reports.
- Represent ARKEMA with customers, agents, distributors in the assigned geographical area
- Ensure the respect of conditions for contract review with each customer
- Manage the whole βorder to cashβ process
- Ensure the back-up in case of other Customer Service Representativesβ absence
Skills:
Bachelorβs degree
Knowledge of IT systems SAP, MS Office, PICASO, TMS, PowerBI, SalesForce
Knowledge of international trade (Incoterm, payment terms, export documentsβ¦)
Knowledge of context linked to βHazardous productsβ
Dynamism – Autonomy – Organization β Rigor β Initiative and anticipation skills
Be in permanent search for improvement of processes and service to the customer.
Fluent in English (French will be an asset)
Maintaining a positive, empathetic, and professional attitude towards customers
Strong communication and negotiation skills.
Demonstrate Customer Focus
Flexibility, resilience, problem analysis and solving, ability to work both independently and as a member of the team.
Attention to details and having documentation skills
